2. Some useful definitions
Personal data
Personal data means information that relates to you or can be used to identify you. This may include information such as your name, email address, postal address, IP address or information used in connection with an order or payment.
Sensitive personal data
Some information requires particular protection. In the context of Persometrics, this may include health-related information such as laboratory results, hormone or other biomarker data, as well as information provided through certain questionnaires where this relates to your health or psychological characteristics.
Anonymised information
Anonymised information is information that has been irreversibly separated from information that could identify you, so that it can no longer reasonably be attributed to you as an individual.
Once information has been genuinely anonymised, Persometrics can no longer determine to whom it originally belonged.
3. What information we collect
Information you provide to us
We may collect personal data when you:
- purchase a product or service;
- activate or use a test kit;
- complete a questionnaire;
- contact us through our website or by email;
- request information or support; or
- subscribe to communications where such a service is offered.
Depending on the service, this information may include your name, email address, postal address and other information necessary to fulfil your request.
Our website contact form collects your name, email address, an optional subject and the contents of your message.
Please do not include sensitive health or medical information in the general contact form unless it is necessary for us to respond to your request.
Laboratory and questionnaire information
Where you use one of our testing or profiling services, we may process laboratory results, biomarker information and questionnaire responses necessary to provide the service and generate your results or report.
We seek to separate identifying information from laboratory and assessment data wherever reasonably possible.
Technical information
When you use our website, certain technical information may be processed automatically by our web server. This may include your IP address, the date and time of access, requested pages, browser or device information and information necessary to operate and secure the website.
Server logs are used primarily for security, technical administration, troubleshooting and maintaining the reliable operation of our services.
4. Why we process your information
To provide the service you request
We need certain information in order to process orders, deliver products, activate test kits, perform requested analyses, generate reports and provide customer support.
This may require processing personal data as well as health-related or other sensitive personal data where these are necessary for the service you have requested.
To communicate with you
We use contact information to respond to enquiries, provide information relating to your order or service and communicate important information concerning Persometrics services you are using.
To improve our products and services
We may use aggregated or anonymised information to understand how our services perform, improve existing services and develop new ones.
Research and statistical analysis
Persometrics believes strongly in the value of scientific research.
Where appropriate, anonymised information may be used for statistical or scientific purposes. We will not use identifiable sensitive personal data for independent research purposes without an appropriate legal basis and, where required, your consent.
Marketing
Where we offer newsletters or other marketing communications, we will send these where you have requested or consented to receive them or where otherwise permitted by applicable law.
You can unsubscribe from marketing communications at any time using the unsubscribe mechanism provided or by contacting us.
5. Laboratory tests and sensitive personal data
Persometrics uses specialised Swiss laboratories to perform requested analyses.
Samples sent for analysis are identified using a unique anonymous test or sample code rather than your name or contact details. The laboratory performing the analysis therefore does not need to receive your identity in order to perform the requested laboratory analysis.
Laboratories working with Persometrics are Swiss laboratories operating under their own applicable professional, quality, confidentiality and data-protection obligations.
Once the requested hormone or biomarker analysis has been completed, the laboratory destroys the saliva sample in accordance with applicable procedures and Swiss requirements. Persometrics does not retain your physical saliva sample.
Persometrics processes the resulting laboratory data only as necessary to provide the service you requested and for the other purposes described in this policy.
6. Who we share information with
We do not sell your personal data.
We may provide limited information to service providers where this is necessary to provide our services. Depending on the service requested, these may include:
- laboratories performing requested analyses;
- postal, courier or delivery providers;
- payment-processing and banking providers;
- website and IT infrastructure providers; and
- communication and email service providers.
These providers receive only the information reasonably necessary to perform their role.
For example, a delivery provider may require your name and postal address but does not require your laboratory results. Conversely, a laboratory may receive a coded sample and the information necessary to perform the requested analysis without receiving your name or contact details.
Enquiries submitted through the Persometrics website are delivered to us using our business email infrastructure provided by Zoho.
Where payments are made through an external payment provider, payment information required to process the transaction is handled by that provider. Persometrics does not need to retain complete payment-card information itself.
7. Anonymisation
Anonymisation is an important part of the Persometrics approach to privacy.
When you use a Persometrics testing service, a unique anonymous code is used to separate your identity from your laboratory and assessment information. This means, for example, that a saliva sample sent to the laboratory can be identified by its code without your name or contact details being provided to the laboratory.
Once your results have been delivered to you, Persometrics severs the link between your personal information and your unique anonymous code. Identifying information that is no longer required is removed in accordance with our procedures.
After this process has been completed, Persometrics can no longer associate the anonymised hormone, biomarker, questionnaire or assessment data with you as an individual.
This separation is deliberate: it reduces the amount of identifiable sensitive information held by Persometrics and helps protect your information even in the event of unauthorised access to our systems.
Because the connection to your identity has been irreversibly removed, Persometrics cannot subsequently identify, retrieve or delete your individual anonymised results.
Anonymised information may be retained and used for statistical analysis, service development or scientific purposes because it can no longer be attributed to an identifiable individual.
8. How long we keep your information
We retain identifiable personal data only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable legal, contractual, accounting or regulatory obligations.
Different types of information may therefore be retained for different periods.
Information relating to an enquiry may be retained for as long as necessary to respond to and manage the enquiry.
Information relating to purchases and financial transactions may need to be retained for longer periods to meet Swiss accounting and legal obligations.
Laboratory information and samples are handled in accordance with the applicable requirements and retention procedures of the laboratory performing the analysis.
Where Persometrics irreversibly anonymises information, it is no longer possible for us to associate that information with you.
9. Website analytics, cookies and similar technologies
Persometrics seeks to minimise the amount of information collected about visitors to its website.
We may use privacy-focused website analytics to understand general information such as the number of visits to the website, which pages are used and how visitors find our website.
Where analytics are used, we aim to configure them in a privacy-preserving manner, including measures such as limiting the information collected and anonymising technical identifiers where appropriate.
We do not use website analytics to access your laboratory results, questionnaire answers or other sensitive health information.
We use a functional language-preference cookie to remember the language you select on our website. This cookie is used only to provide your preferred language version of the website and is not used for analytics or advertising. The preference is stored for up to one year.
10. Security
We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss, misuse, alteration or disclosure.
We seek to separate identifying information from sensitive test information wherever practical and use anonymous codes in relevant testing workflows.
No internet-connected system can guarantee absolute security. We therefore continually seek to limit the amount of identifiable information retained and the period for which it is required.
11. Your rights
Subject to applicable Swiss data-protection law, you may have the right to request information about the personal data we process about you and to request that inaccurate information be corrected.
Depending on the circumstances, you may also have rights relating to deletion, restriction of processing, provision of certain data or objection to particular uses of your information.
To exercise your rights, contact us at:
We may need to verify your identity before responding to a request involving personal data.
Please bear in mind that information that has already been irreversibly anonymised cannot be retrieved, associated with you or deleted at your request because Persometrics can no longer determine which information originally belonged to you.
Certain information may also need to be retained despite a deletion request where Persometrics is required to do so by law or has another lawful reason for retaining it.
12. Changes to this Privacy Policy
We may update this Privacy Policy when our services, technologies or legal obligations change.
The current version will always be made available on the Persometrics website, together with the date on which it was last updated.
